Timmons Group is currently seeking an experienced and motivated Senior Marketing Proposal Coordinator to join our Marketing Group at one of our Virginia (Richmond, Charlottesville, VA Beach, Newport News, Staunton, or Ashburn) office locations with hybrid remote available. This position is ideal for a senior marketer looking for a new challenge or a coordinator ready to level up in their career. This role is for marketers who like to be engaged in the pursuit process from beginning to end, collaborate across disciplines, stretch their creative muscles, and have their ideas heard and implemented. The selected candidate will be an experienced proposal writer with outstanding attention to detail, providing marketing support to our engineering divisions primarily through proposal development, writing, editing, with possible light graphic design support if that is in your personal toolbox. This role, and our marketing team, supports the firm by creating forward-thinking, client-focused pursuit materials for building long-term client relationships and growing revenues.

Essential Duties and Responsibilities include but are not limited to:

  • Working with marketing team and technical staff to support the firm’s pursuits for a variety of assigned service lines.
  • Leading/coordinating strategic responses to Requests for Proposals (RFPs), letters of interest, and questionnaires for proposals across Virginia, with occasional support for other locations.
  • Managing multiple concurrent deadlines.
  • Leading pursuit teams by identifying leads, facilitating go/no-go conversations, developing an understanding of the business development practices at the firm, and working collaboratively through strategic pursuits.
  • Running proposal kick-off and review meetings; managing proposal schedules/deadlines; and planning writing, editing, proofreading, and print/digital production of pursuit materials.
  • Leading and managing development of new content (such as project summaries, executive summaries, past performance, management approaches, resumes, etc.) both from within marketing and coordinating with technical team members.
  • Developing and/or identifying the need for proposal graphics and working with a designer to create them, as needed.
  • Coordinating strategy and leading production of presentation and interview materials with the technical teams, attending rehearsals, offering feedback.
  • Conducting internal and external research to identify leads for new project opportunities and clients, track data, and follow up with marketing team and appropriate technical staff.
  • Facilitating debrief meetings and client feedback opportunities.
  • Managing regular marketing meetings with assigned technical staff.
  • Preparing design award submittal and speaker presentations
  • Lending expertise and assistance to less experienced marketers.
  • Coordinating with the Communications team to produce social media and web content, print or digital collateral, etc.
  • Maintaining, monitoring, and updating information in the corporate CRM system, Deltek Vantagepoint.
  • Filing electronic records, managing pursuit database content.
  • Coordinating and facilitating relevant marketing activities such as conference attendance, teaming events, support for business development, and marketing events.

Skills/Requirements of a successful candidate include but are not limited to:
  • Bachelor’s degree in English, Journalism, Marketing, Public Relations, or related discipline
  • 5-10 years of experience preparing proposals or in technical writing for an engineering, architecture, or construction firm
  • Experience coordinating, organizing, and completing multiple concurrent tasks
  • Experience with Adobe Creative Suite (or Creative Cloud) - InDesign, Illustrator, Photoshop, Acrobat Pro
  • Knowledge of Deltek Vantagepoint or similar CRM software a plus
  • Experience with Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams)
  • Extra consideration will be given to qualified candidates with experience developing and writing public infrastructure or land development proposals for federal, state, and/or local owners
  • A self-starter who can work as a project leader in a fast-paced environment
  • Highly organized in time and task management
  • Ability to manage multiple concurrent tasks and priorities with minimal supervision
  • Exceptional attention to detail, excellent proofreading and editing skills
  • Motivation to both learn about new topics and present new ideas
  • Exceptional interpersonal and listening skills and ability to work collaboratively and understand multiple perspectives
  • Participation in on-the-job training and interest in joining industry organizations
