The Membership Assistant to the Keiretsu Forum Northwest President and Membership Director is responsible for overseeing all administrative and operational support aspects of membership development. Including but not limited to general office administration, and member and prospect member relationship. The role has many different responsibilities. The best candidate will be able to seamlessly transition from email to returning phone calls to setting appointments to scheduling travel to sending thank you letters.

Essential Functions of Membership Assistant

  • Intensive Planning including event production calendar, meeting/schedule coordination
  • Sync up daily on daily, weekly and monthly action items/priorities
  • Screening of phone calls, routing email inquiries / entering event registrations
  • Sort and manage incoming email communications and prioritize follow up messages
  • Respond/forward to email as appropriate to answer questions, make referral to appropriate team members, coordinate follow up and setup meetings, etc.
  • Prioritizing incoming and ongoing action items to improve productivity
  • Copy notes from meetings into information systems and update database(s)
  • File email and attachments as appropriate for later reference
  • Manage master calendar updates, meeting/schedule coordination, make travel arrangements and screen phone calls, emails, and incoming mail
  • Management of the daily President schedule to ensure priority items are completed
  • Making appointments and keeping daily record of schedules, this includes arranging and preparations for meetings, lunches, dinners and other business related and personal events


Qualifications

  • Experience in business communication or another relevant field
  • Skills with Office 365, Task Management Software and CRM
  • Ability to work pro-actively and drive team performance towards objectives
  • Strong attention to detail
  • Excellent written and oral communication skills
  • Must be organized and be able to organize fellow team members


Tasks/Responsibilities Below is an outline of tasks related to this position. This summary should not be considered a complete list of duties; additional tasks may be assigned as needed.


Operations, Office, Communications & Admin Support

  • Maintain and update monthly and annual operational calendar
  • Maintain database records for members, community partners, sponsors and prospects
  • Organize and prioritize large volumes of information; data entry and complex activities
  • Update all new contacts and contact data into system with notes
  • Ensure a clean database each month and update/remove incomplete records
  • Clean, organize and inventory membership related office items on a monthly basis
  • Streamline and update office workflows and systems (including automation and other improvements)
  • Sort and manage incoming email communications and prioritize follow up messages
  • Prioritizing incoming and ongoing action items to improve productivity
  • Copy notes from meetings into information systems and update database(s)
  • Receive and process membership applications
  • Manage master calendar updates, meeting/schedule coordination, make travel arrangements and screen phone calls, emails, and incoming mail
  • Management of the daily President schedule to ensure priority items are completed
  • Making appointments and keeping daily record of schedules, this includes arranging and preparations for meetings, lunches, dinners and other business related and personal events


Inside Sales:

  • Actively identify, contact, and recruit potential new members, including accredited investors, to join Keiretsu Forum.
  • Conduct outreach through email and phone calls to effectively communicate the value of Keiretsu Forum's membership and services.
  • Build and maintain relationships with prospective and existing members, addressing their inquiries and guiding them through the application and onboarding process.
  • Collaborate with the Membership team to develop strategies for member engagement and retention, ensuring a positive experience throughout their membership.
  • Track and report on sales performance, including conversion rates, lead generation, and closed deals.


Key Performance Indicators:

  • Setup/Schedule 50+ follow up meetings/phone calls with potential members each month
  • Setup/Schedule meetings / calls with at least 5 potential sponsors each month
  • Setup/Schedule 10+ meetings/calls with upcoming renewing members
  • Updating performance tracking system each week with data
